Information Notice for Registration to the Social Dinner

Dear Data Subject,

We would like to inform you that the “European Regulation 2016/679 on the protection of natural persons with regard to the Processing of Personal Data and on the free movement of such data” (hereinafter the “GDPR”) provides protection for individuals and other entities with regard to the processing of personal data.

LT3 Srl, as the “Data Controller”, pursuant to Article 13 of the GDPR, therefore provides you with the following information:


A. CATEGORIES OF DATA:
The processing may involve special categories of data pursuant to Art. 9 GDPR (such as information relating to food intolerances or food allergies) if this section of the form is completed.

C. SOURCE OF PERSONAL DATA:
The personal data processed by the Data Controller are collected directly from the data subject during the registration phase for the “Social Dinner” event, through the dedicated online form when registering for the “4th Global Conference on Robotic Assisted Bronchoscopy – 2026 RAB”.


D. PURPOSES OF DATA PROCESSING AND LEGAL BASIS:
Personal data are processed by the Data Controller for the following purposes:

  • Purpose based on the performance of a contract and pre-contractual measures (Art. 6(1)(b) GDPR): internal organizational activities, including the collection of participants’ data for the management and organization of the event.

  • Purposes based on vital interests (Art. 9(2)(c) GDPR):

    1. We collect information about allergies and/or food intolerances to prevent adverse reactions that could endanger the health of the data subject.


E. RECIPIENTS OF THE DATA:
Within the limits relevant to the processing purposes indicated, your data may be communicated, where necessary, to other parties connected with the processing activities, both internal and external to the Data Controller, such as employees and collaborators, and external companies used by the organization to carry out activities connected, instrumental, or subsequent to participation in the “Social Dinner” event (for example, catering service providers).
Your data will not be disclosed in any way.


F. DATA TRANSFER TO THIRD COUNTRIES:
The data collected will not be transferred to third countries outside the European Economic Area (EEA).


G. DATA RETENTION PERIOD:
The data collected will be retained for a period not exceeding the time necessary to achieve the purposes for which they are processed (“storage limitation principle”, Art. 5 GDPR) or according to the deadlines established by law.
The relevance and necessity of the stored data in relation to the purposes for which they were collected are periodically verified.


H. RIGHTS OF THE DATA SUBJECT:
The data subject always has the right to request from the Data Controller access to their data, rectification or erasure of the same, restriction of processing, or to object to processing. The data subject may also request data portability and withdraw consent to processing by sending a simple communication to the Data Controller, exercising these and the other rights provided for by the GDPR.
The data subject may also lodge a complaint with a supervisory authority.


I. OBLIGATION TO PROVIDE DATA:
The Data Controller will process special categories of data exclusively for the purposes indicated in section D.


J. METHODS OF DATA PROCESSING:
The personal data provided by you will be processed in compliance with the above-mentioned legislation and the confidentiality obligations that inspire the activities of the Data Controller.
The data will be processed both by electronic means and on paper, as well as on any other suitable medium (e.g., cloud systems, digital storage and archiving systems, etc.), in compliance with appropriate technical and organizational security measures required by the GDPR.


K. AUTOMATED DECISION-MAKING:
No automated decision-making processes are carried out.
